[00:00:24] But my mother-in-law's birthday, her 70th birthday is during that.
[00:00:30] And so she goes, it'd be nice if you guys threw me a party. And we went, we were going to go away.
[00:00:36] She's like, yeah, but aren't you going to do a Hanukkah party? Like you should just do it within your Hanukkah party.
[00:00:40] And we were like, fine. And so then we go, who do you want us to invite?
[00:00:48] And she goes, oh, no, no, no, don't. I don't want to bother. Like you just have your party, but like we'll just have a birthday cake for me.
[00:00:53] And we're like, you want your friends there. Who should we invite?
[00:00:57] She didn't give us any information whatsoever. And I was like, I love you, but I hate you right now.
[00:01:02] So we're going to be throwing a birthday party for my mother-in-law.
[00:01:05] So if you're around in the New Jersey area and you want to come celebrate Hanukkah and my mother's name is Sandy.
[00:01:11] So we're calling, you know that we always do every year. We do like a themed Hanukkah, right?
[00:01:14] So we've done like Japanica when we did Japanese food. We've done my big free, my big fat Greek Hanukkah for that year.
[00:01:22] So this year we're having Sandrica in honor of her.
[00:01:27] And all of our food, Michelle, when I like sat down and figured this out, all of the food is going to be like higher, classier versions of the food that she normally makes.
[00:01:37] She makes this dish called fish with apples.
[00:01:40] She loves it.
[00:01:41] It's utterly disgusting.
[00:01:42] So we found like a better elevated version of this dish where like there's like fish and there's apples involved in the dish.
[00:01:50] But like it's like literally it's imagine like if you took a piece of tilapia and you turned it into a taco and just filled it with like chunks of cooked apple.
[00:01:57] Like that's what she makes.
[00:01:58] It's it's gross.
[00:02:01] But so this is going to be like we'll make an elevated version of like with like an apple chutney and like all these things like whatever.

[00:05:14] So my answer to you, Philip, is none.
[00:05:17] The problem with a CRM...
[00:05:19] Here's my problem with CRM.
[00:05:19] Like, I tried HubSpot for like a hot minute.
[00:05:21] And I got so overwhelmed with how much is in there.
[00:05:26] My problem with CRMs just in general is the good ones are complicated and the bad ones are the bad ones.
[00:05:36] Yes.
[00:05:37] In general, yes.
[00:05:39] I would say if you're just dipping your toe into the CRM water, right?
[00:05:43] Probably use whatever one is built into your PSA because you're already paying for it.
[00:05:50] Yeah.
[00:05:51] If you get a little more involved in sales as a process and your PSA CRM no longer does it for you,
[00:06:04] my recommendation just from personal experience would be...
[00:06:07] It's called Biggin, B-I-G-I-N.
[00:06:11] It's by Zoho.
[00:06:12] So there's Zoho CRM and then there's Biggin.
[00:06:15] Biggin is the smaller reduced flavor.
[00:06:20] What I like about it is if you're not...
[00:06:22] You think it'd be called Smallin then?
[00:06:24] Exactly.
[00:06:26] If you're not used to a traditional sales funnel type process,
[00:06:31] it uses a Kanban board for your sales funnel.
[00:06:36] So kind of like Trello, if you're familiar with using Trello,
[00:06:40] it's kind of, I think, just an easier way to organize.
[00:06:44] Plus, it's only $15 a month.
[00:06:46] So not a huge investment.
[00:06:48] Yeah.
[00:06:49] It really...
[00:06:50] Like you said, Eric, it really comes down to what you're trying to do, Philip.
[00:06:52] Like if you're doing it for sales and checking,
[00:06:56] like honestly, we use the CRM that's built into Halo and it's fine.
[00:06:59] I was trying to figure out what I can do to keep track of stuff for like my conference.
[00:07:05] I did go to ChatGVT and I said like, hey, what's a good CRM?
[00:07:08] And it literally was just like, just use Google Sheets.
[00:07:11] Like use Google Sheets.
[00:07:13] And I was like, cool, I'm going to use Google Sheets.
[00:07:15] What should I have in my Google Sheet?
[00:07:16] And it like gave me title headers and even told me like which ones were drop downs.
[00:07:21] And I was like, this is genius.
[00:07:22] Done.
[00:07:22] I made this.
[00:07:23] Like I finally found a good use for ChatGVT.
[00:07:26] And so now I track like who, what, and like where they are.
[00:07:30] Like what my next move is for them is literally a drop down.
[00:07:34] And it makes it so much easier.
[00:07:36] And then I can color coordinate.
[00:07:37] So I think it really depends.
[00:07:39] There's a couple of things here.
[00:07:41] One is how big your company is and how much you want to spend, right?
[00:07:43] Because if you're a one person shop, you don't really need a CRM
[00:07:46] because it's probably all in your head.
[00:07:48] You can just do it in a notebook, but you can start easy.
[00:07:52] Something with Google Sheets or the other piece is what integrates with your stuff.
[00:07:57] So for example, I have clients that use a product called Daylight.
[00:08:02] It's an okay CRM for the Mac, but it only integrates with the Mac Mail program.
[00:08:08] And so you have to have Mac Mail.
[00:08:10] And even at that, it's iffy, but it was great back in the day.
[00:08:14] There's no like online version of it where like HubSpot will tie into your Google
[00:08:18] or your Outlook or Office 365 and integrate directly in that.
[00:08:23] But like I went in just to do some Asus stuff with HubSpot.
[00:08:26] I tried it out for a day.
[00:08:27] I put in our friend Nancy's email and it was like, it gave me so many options.
[00:08:32] I didn't even know where to begin.
[00:08:33] I was like, I just want to track like when did I email her last
[00:08:36] and tell me when I need to email her again next.
[00:08:39] Couldn't do it in HubSpot because I just couldn't figure it out.
[00:08:42] I found an extension that works in Google Suite, well, G Sheets.
[00:08:47] And I'm done with it.
[00:08:48] Like I made it easy.
[00:08:49] So my answer is who cares?
[00:08:53] Whatever's easiest for you.

[00:11:00] Let's just jump right into some data analytics stuff here.
[00:11:03] You know, data analytics is a pretty broad topic to say the least.
[00:11:07] And let's bring it right in straight to what MSPs need to do.
[00:11:11] What kind of data should MSPs be?
[00:11:16] Because we talked about this a little on a show before, Eric.
[00:11:18] We were just talking about like what data should an MSP use or collect and what should they do with it?
[00:11:23] So let's ask the professional here.
[00:11:24] What data should an MSP be collecting and what should they be doing with it?
[00:11:30] Absolutely.
[00:11:32] So MSPs already have clients and their clients have data.
[00:11:35] So right now we're living in a world of data where every impression, every like turns into data, right?
[00:11:41] That we can make informed decisions on.
[00:11:44] So when we talk about MSPs is when we look at MSP clients, they have their data housed on multiple different systems.
[00:11:52] So we're talking about ERP systems, financial systems, operationals, marketing systems, right?
[00:11:58] So what I could do is MSP could see what the pain points are of their clients.
[00:12:04] Meaning what are they trying to do with that system?
[00:12:07] What problems are they trying to solve?
[00:12:09] And how can they marry together so that their clients could get a bigger picture of what's happening with their business?
[00:12:16] So that's one of the ways.
[00:12:17] And that's what we've been working with MSPs actually on.
[00:12:20] So bringing in that data from the client, because obviously the clients always want to know like where are we spending our most money?
[00:12:26] Who's the most problematic person?
[00:12:29] Should we fire Judy because she doesn't understand how the cloud works?
[00:12:33] You know, things like that.
[00:12:34] Is that what you're getting at?
[00:12:35] So what I'm saying is like what I'm hearing is MSPs usually have account executives that meet with clients and kind of figure out what are their goals are?
[00:12:44] What are they trying to achieve?
[00:12:45] And they also manage all of those systems on the cloud because they need to make sure that the licenses for the systems are onboarded for all the users.
[00:12:54] So I think it's a good way for MSPs to see like why are they using those softwares?
[00:12:59] What's the reason for it?
[00:13:01] And also from what we've seen is what type of reporting they derive from the software, like talking to executives, what type of report do you want to see?
[00:13:09] We at the end of the day, most of those softwares are there for to increase profitability, to increase revenues for that business.
[00:13:16] So trying to figure out, OK, how are you getting the data out of that system?
[00:13:21] And what's the process like?
[00:13:23] Is it lengthy?
[00:13:24] Is it taking a lot of time?
[00:13:26] Are you getting that custom report that you want?
[00:13:29] And how fast are you getting it?
[00:13:31] That's one of the ways.
[00:13:32] Yeah, no, that totally makes sense, right?
[00:13:34] And like I feel like that reporting always seems to be a big problem for MSPs, right?
[00:13:40] Like whenever we talk to MSPs about that kind of stuff, we say like, all right, what are you doing for your reporting?
[00:13:47] Because like I have clients who ask us for reports all the time, right?
[00:13:50] And we're still manually dragging our feet across some of it because this client wants these five items and this client wants these three items and this client wants a whole different set of items.
[00:14:03] So how can we like make this easier for us?
[00:14:09] Forget everyone who listens.
[00:14:10] I don't care about you guys.
[00:14:11] You know, I'm kidding.
[00:14:12] But like help me.
[00:14:14] Like how do we make it more streamlined internally?
[00:14:17] Absolutely.
[00:14:18] So here's the thing.
[00:14:19] I've been working with clients from different industries and what I've seen, it happens for all of the clients.
[00:14:25] Basically, it's everybody uses every ERP system or every CRM system has its out of box reporting.
[00:14:33] But guess what?
[00:14:33] Most clients don't use it because they want something custom to their business.
[00:14:38] They want something.
[00:14:39] They want KPIs that are relevant to their business or that they come up with so they can keep track of things better.
[00:14:44] So I think the number one thing is looking at, for example, I had a client when we started with a real estate client that I had and they had the reporting done in Excel.
[00:14:55] So somebody will go in there, download the reports from Yardi.
[00:14:59] That's one of the leaders in real estate.
[00:15:03] And actually, they also have a healthcare suite as well in their software.
[00:15:07] And they have out of box reporting.
[00:15:10] But most clients that I've seen throughout my entire history would not just use the occupancy reports straight from the Yardi, for example.
[00:15:18] They will take that report.
[00:15:20] They will take multiple reports.
[00:15:21] And somebody on their team would do this crazy formulas with D lookups and match and hope it doesn't get corrupted or broken down, let's say.
[00:15:32] And then they would have to present their numbers to the executive team.
[00:15:37] Usually that process takes, depending on the volume and depending on how big the organization is, sometimes a couple of days.
[00:15:44] And if certain numbers get updated, now they have to rerun this process once again.
[00:15:50] So I think the biggest thing is like, okay, let's look at the reporting that you already have and let's see which one is taking the longest time.
[00:15:58] Right.
[00:15:59] And obviously you want also look at the reporting that's important.
[00:16:03] Something that has eyes more than any other ones, like on a weekly basis or on a monthly basis and see how much time it's taking you to put it together.
[00:16:12] Again, when we were working with a real estate company, we noticed that they had weekly reporting and they had so many properties.
[00:16:17] And it would take like one day, one full day for somebody to run it and make sure that person took one day because that person had been doing for such a long time.
[00:16:26] And that's best use case scenario if the formulas will not break.
[00:16:30] We come in, we learn basically everything about the backend, how where the data is, map it out correctly, and then build it out once.
[00:16:40] Now, snap of a finger, the data refreshes on backend.
[00:16:44] No more.
[00:16:45] Nobody's looking at it anymore.
[00:16:46] Nobody's putting it every week.
[00:16:48] No time is being spent.
[00:16:49] It just comes right on.
[00:16:51] And then also deliveries is also streamlined.
[00:16:54] Meaning if you have certain parties that need to be looking at it, they get shipped out to their email.
[00:16:59] So they open it.
[00:17:00] And some of them, if they prefer to be on the go, they can have a mobile app for like Power BI, for example.
[00:17:06] Now they can see their numbers on the go.
[00:17:08] So nobody's touching their report anymore unless, you know, there's a survey outage or there is a new mapping that's been introduced.
[00:17:16] But again, it's a minimum maintenance at that point.
[00:17:21] So it went from taking someone a day, for example, to taking zero.
[00:17:27] So you can see how now they actually can look at the numbers and figure out what's happening.
[00:17:33] Okay, why certain property, for example, occupancy is dropping on this week.
[00:17:37] What's the cost?
[00:17:39] Instead of somebody spending one day and then they're like so bogged down, right?
[00:17:43] They're kind of like scrambling quickly to make sure that report is out and things could be missed, for example.
[00:17:50] But now they are spending time on more analytics, like figuring out why certain metrics are dropping, what's happening with the business, or how can they elevate them?
[00:18:00] So they spend on more deep and more rewarding work.
[00:18:03] So let's bring this back a little bit to MSPs for a second, right?
[00:18:06] Because it all comes down to KPIs and metrics.
[00:18:08] Eric, you ran an MSP for a long time because you know that I don't do metrics.
[00:18:13] When you were running an MSP, Eric, what were some of your metrics that you were trying to keep track of?
[00:18:17] Well, you know, I think that when it comes to this kind of stuff, metrics are, of course, important.
[00:18:23] And I was keeping track of a lot of things from, you know, percentage of new ARR or MRR, depending on what I was looking at.
[00:18:33] You know, what my pipeline looked at in terms of, you know, percentage of where things were in the stages from, you know, awareness all the way down to closed one or closed lost.
[00:18:48] But I think in this case, you know, we're looking at more for what can the MSP do from a data analytics service offering rather than just the data for the MSP.
[00:19:03] So I know that when we were setting up this episode that you told me about a story that you had where you helped an MSP with a veterinary clinic.
[00:19:12] And so I'm very interested to know why did the MSP come to you?
[00:19:17] Like what level of problem did they have that they needed to seek out a data analytics expert?
[00:19:22] And then we'll talk more about the rest of that story.
[00:19:27] Absolutely.
[00:19:28] And actually, this is why this is I started working with MSPs by complete surprise because I had that real estate client that found me and we were working on it.
[00:19:37] And that real estate client was managed by MSP.
[00:19:40] So MSP saw what we're doing with that real estate client and like, oh, cool.
[00:19:45] Our client loves us.
[00:19:47] Can you help our clients like our other clients?
[00:19:50] And then they started feeding me business basically through like we help veterinary clinics.
[00:19:55] We also help automotive clients in automotive business that they had as well.
[00:20:00] So with the veteran clinic, they, again, MSP was very, that MSP is doing such a great job of listening to their clients and seeing what their clients are doing, learning about their business and seeing the pain points that their clients have.
[00:20:16] And that's how they like, okay, they saw what we did with the real estate.
[00:20:19] It, again, became like a, came as a surprise because I wasn't looking out for like working with MSPs or partnering up with MSPs.
[00:20:27] I just had a real estate client that we did a BI reporting for, business intelligence reporting for.
[00:20:33] And MSPs was on the back end making sure that we have the Power BI licenses, for example.
[00:20:38] And they were looking what we were doing.
[00:20:40] And now they were like, oh, this could be useful for my other clients that need that reporting, that need to see what their revenues are in real time.
[00:20:49] And asking them, do you have anything like that?
[00:20:53] Are you getting that reporting to know where your business at now?
[00:20:58] And that's how they started offering.
[00:21:00] And basically they started bringing us on the calls like, hey, we have this client.
[00:21:04] Can you come and jump on a call and see if you can help them?
[00:21:07] They, they have like, for example, in veterinary space, they had proprietary software that they built.
[00:21:13] And MSPs obviously aware of that because they maintaining that software and making sure the licenses and making sure that any outage or the servers.
[00:21:23] Right.
[00:21:23] So they, they aware and they like, oh, they're getting these reportings, but they spending so much time on it.
[00:21:29] I know you've done something with that real estate.
[00:21:31] Can you see if you help them as well?
[00:21:33] And that's, that's a journey where the journey began.
[00:21:37] And we're still working with them.
[00:21:38] And as soon as the veteran clinic saw, got the taste of, oh my gosh, I can get this, like these reportings right.
[00:21:46] Snap on my fingers.
[00:21:47] I love it.
[00:21:48] I don't have a staff now sitting late nights or they have deadline that they have to sharply meet.
[00:21:54] And we have to update our systems to get the most recent numbers.
[00:21:57] Like it's built once.
[00:21:59] And now I get it on the go.
[00:22:01] I know where my numbers are.
[00:22:02] Like what else can we do?
[00:22:04] And we still working with them because they're coming up.
[00:22:07] Oh, I want to see, I want to see like, what's my practitioner that's giving me the most, for example, revenue on, or what's my practitioner that's giving me?
[00:22:17] What's the average time of service time, for example, for that practitioner to get more sense of how can they make their clients happy?
[00:22:25] For example, you know, how can they streamline the operation and service better?
[00:22:29] So there's a skills gap, evidently, with the MSP that you are now filling for them.
[00:22:36] So for the MSPs that are listening to this, what are some of those skills that you can bring that they can outsource to a Modely Group to augment their service offerings in that business intelligence kind of realm?
[00:22:55] Absolutely.
[00:22:56] So we are, we are skilled in learning about all about data, making sure we know how to marry the data across different platforms.
[00:23:03] Essentially, if MSP is maintaining the client and that client has multiple different softwares for HubSpot, when we talk about marketing, for Salesforce, for example, or the operational in-house or any other software that they, that's relevant to their business.
[00:23:19] If they have API access, they have API access, we own it, or they have a SQL database, or they have a cloud database.
[00:23:26] If they are on AWS, they have Redshift, for example, or even S3 bucket, right?
[00:23:30] So we can, we know how to get the data out and then connect it to the BI tool, either if it's on Microsoft, if it's Power BI, or if it's on AWS, it's a QuickSight.
[00:23:41] And we can bring that data in, build the KPIs.
[00:23:45] And now that I have, we've helped so many clients, it gives me, I'm still learning.
[00:23:52] I don't want to say, you know, I'm still learning, but I know what type of KPIs that my clients want or how to get that KPIs or how to get that visual because we've done so many of them by this time.
[00:24:06] And I know which one works better telling the story, which one don't, and also how to present it for executive teams to make sure that they get the big picture.
[00:24:16] Also, they're able to drill down to get the details because we can wrap it up, everything, and show them the numbers, right?
[00:24:22] But everybody wants to know, how can I see what is that numbers made of?
[00:24:26] So there's a capabilities that they can drill down and get the reporting, kind of get more in trenches if they want to.
[00:24:34] So what kind of questions should an MSP be asking of their clients to kind of know or dig out that they have a business intelligence need?
[00:24:46] Absolutely.
[00:24:48] So again, MSPs, from what I'm hearing, MSPs usually need for their clients.
[00:24:53] Again, they look at all of the ERP systems across that they maintain.
[00:24:57] They need to ask, what is taking you that long?
[00:24:59] What is your pain points of your staff members?
[00:25:02] Most of the times, executives would know, oh, like executives or even people that are supporting the executive team because they are the ones putting these reports together.
[00:25:11] They are the ones that will tell you, oh, it's taking me one week or it's taking me two days and it's so manual.
[00:25:18] I have to work with Excel and it crashes.
[00:25:21] And then I don't know, like, and I have to go get the collect the numbers again.
[00:25:24] Or we have visual basics that we have to run on if there's a clinic that has multiple locations, right?
[00:25:31] The volume goes up.
[00:25:33] So you have to make sure you map up the data.
[00:25:36] When I'm saying map up, let's say they have operational data that shows the visits.
[00:25:41] And now they want to map it out to the revenue side.
[00:25:44] Now they have to map it up to accounting, for example, to match each revenue to each GL code, let's say, in accounting, right?
[00:25:50] To make sure that financials are showing that these treatments made this much money, that much money.
[00:25:56] And now it's like, who's doing that?
[00:25:58] How much time that's taking?
[00:25:59] You know, listen to the accounting team, finance team that's putting those reportings together or any type of analyst that's there.
[00:26:08] Or admins, even, if it's a smaller company, admins or marketing departments, basically.
[00:26:16] And hearing what's taking that long, what would they like to see?
[00:26:20] Is there an Excel spreadsheet that's been breaking, that's been taking a lot of time to put together?
[00:26:27] And would they want to see real-time on-the-go analytics?
[00:26:30] How often are they getting those reportings?
[00:26:32] And how often they would like to get that report?
[00:26:37] Or do they know their numbers at real time, all the time?
[00:26:40] I think that's the big takeaway, right?
[00:26:42] Is that it's, do they know their numbers?
[00:26:44] And this is true for both the MSPs themselves and the MSP clients, right?
[00:26:50] Because if you know your numbers, you're going to do well.
[00:26:54] And if you don't know your numbers, you're not going to...
[00:26:56] This actually, this is why I want to buy you, Eric.
[00:26:57] I'm going to buy you that shirt that says, that wasn't very data-driven of you with the Christmas holiday.
[00:27:03] That's what I'm going to get you.
[00:27:04] I prefer the ugly sweater version.

[00:27:07] So, you know, we're going to...
[00:27:09] There's a lot to take in here when it comes to that kind of data, right?
[00:27:20] I think, I mean, like, I don't want to push it further because you kind of already said, like, the main point here, which is, like, you have to know your numbers.
[00:27:27] What you track improves.
[00:27:31] Yeah.
[00:27:31] Just on a simple level.
[00:27:32] Even if we're tracking our habits, if we're looking at it every day, it's going to get improved because we're going to be focusing on them instead of catching it.
[00:28:10] It's reporting time.
[00:28:11] When it's too late, things already happened.
[00:28:14] They're catching it already done.
[00:28:16] Nothing can be done.
[00:28:17] But with what we're doing with data analytics with MSP clients is that we even set up alerts.
[00:28:23] So if their KPIs are down now, they get alerted because there's an option with Power BI, for example.
[00:28:29] You can send alert on your emails.
[00:28:31] Now, all of a sudden, you're catching the problem before it's too late.
[00:28:35] Or we have also created reports where you can spot unhappy clients or unhappy customers.
[00:28:41] Meaning, if you have a certain client that's been giving you a certain volume chart, right?
[00:28:45] And now all of a sudden, you see that volume is dropping and it's been dropping continuously.
[00:28:51] It's not sometimes there's sudden drops.
[00:28:54] Sometimes they're just slow drops, right?
[00:28:56] So you're not getting surprised.
[00:28:58] For example, you know, months down, like that client's left.
[00:29:01] There's nothing can be done anymore.
[00:29:02] But if you catch it right now, you can start engaging with the client, seeing what works for them, what doesn't before it's too late.
[00:29:11] Awesome.
[00:29:12] So I think that's a lot of great information.
